We are an expanding nine doctor Veterinary practice with an amazing reputation in Barrie and beyond - some of our clients travel to us from as far as Sudbury! Our team is actively involved in fundraising and working with The Global Alliance for Animals and People in Canada, Central America and the Caribbean. We collect food for the Barrie Food Bank, and work with numerous rescue organizations. Our awards include the 2013 International Hospital Design of the Year Award and runner-up for the prestigious Petplan Veterinary Excellence Awards. We are registered as a Cat Friendly Practice and our staff are trained in Fear Free handling. We are also AAHA and CVO accredited and strive to provide high-quality care. Our team prides itself in providing outstanding care to our patients and clients. We are looking for three amazing CSR’s who thrives in a fast-paced environment where every day there is something new to learn and something fluffy to cuddle.

Client Services Representative/Animal Lover

Responsibilities:

  • Schedules appointments and future appointments before the client and patient leave the hospital.
  • Confirms appointments if confirmation is required.
  • Reschedules appointments if necessary.
  • Stays aware of the times required for different procedures in order to schedule appointments accordingly.
  • Sends patient files to other clinics if requested.
  • Prepares any necessary paperwork for patients.
  • Creates client forms and records for new patients (i.e. boarding agreements, etc.).
  • Receives and distributes faxes to the appropriate person.
  • Calls clients that are late for appointments if it has been 10 minutes to see if they are on their way.
  • Admits patients for boarding, grooming, surgery, etc.
  • Weighs patients upon arrival for appointments.
  • Creates client forms and records for new patients.
  • Balances cash drawer reports at lunchtime and at the end of each day.
  • Processes payments and strives towards a 100% accuracy of collection for services rendered.
  • Provides credit counseling to communicate the hospital’s financial policies to the client. Assures a documented financial commitment for services.
  • Interacts with clients and patients daily and provides any required assistance while maintaining and providing quality service. Greets both client and patient by name.
  • Keeps an accurate appointment schedule at all times.
  • Counsels client with regards to basic nutrition, pre and post-operative care, provides treatment instructions, etc.
  • Promotes our goods and services to clients.
  • Handles any client concerns or questions, if unable to answer, directs to the appropriate Veterinarian and Hospital Supervisor.
  • Sets up reminders for future health care needs in Cornerstone.
  • Places special food orders through Pharmacy/Inventory Control Technician.
  • Maintains a smooth workflow in the reception area.
  • Coordinates and ensures a smooth client and patient flow within the hospital from the reception room to payment checkout.
  • Ensures cleaning duties are carried out as per the weekly cleaning sheet.
  • Receives and files nightly checklists and weekly checklists as they are completed.
  • Bakes cookies for clients each morning and stock hospitality bar as required.

The successful candidate will possess the following skills and abilities:

  • Strong ability to provide empathy, understanding and emotional support to clients.
  • A calm and caring demeanor when interacting with patients.
  • Comfortable and passionate about working with all types of animals.
  • Ability to work cohesively with all employees as part of a team.
  • Excellent interpersonal, communication (verbal & written) and telephone etiquette skills.
  • Displays and maintains a professional and positive attitude.
  • Ability to work efficiently and effectively under pressure with simultaneous deadlines.
  • Detailed oriented and excellent organizational and multi-tasking skills.
  • Ability to maintain confidentiality of pertinent data.

Required Qualifications:

  • Completion of post-secondary education.
  • Minimum of 2-3 years as Client Services Representative, preferably in the Health Care field (animal or human).
  • Excellent interpersonal, communication and telephone etiquette skills.
  • Ability to work efficiently and effectively under pressure.
  • Detail-oriented and excellent multi-tasking skills.
  • Comfortable with current technology, office equipment, cash handling.
  • Strong ability to provide empathy, understanding and emotional support to clients.
  • Ability to work cohesively will all employees as part of a team.
  • Ability to maintain confidentiality of pertinent data.
  • Flexible to work various shifts, including evenings and weekends.

Desirable Qualifications:

  • Previous experience (minimum 2 years) in a veterinary hospital.
  • Working knowledge of Cornerstone software.
  • General understanding of medical terminology.
